Step 1 - Set Up a Project Management System

While it might not seem directly related to your inbox, a messy inbox often reflects a disorganized to-do list. 

If your unread emails are a way of indicating a “to-do” list, you’re using email wrong. 

Get yourself a project management system to systematically store your to-dos, creating a structured approach to managing both your tasks and emails. This approach will not only make your head feel so much more clear, it’ll also serve as a repository for when you're ready to begin the inbox reset process.

Step 2 - Block Out Time for an Email Inbox Reset

Aka, a big ol’ cleanout! Allocate dedicated time for a comprehensive inbox cleanout. 

This might take an hour or two, or even weeks depending on your starting point – and that’s perfectly fine! Chip away at it systematically and consistently. 

You can even set yourself up with your favorite snack or bevvie to make it a more fun process.

Any emails you realize are actually a to-do item, load them into your project management system, add a link to the email, and add any relevant notes, prioritization, and categorization to them as you go. 

Going through this process may surprise you with what you find ~ you may even find a lead you forgot about or a project you want to restart throughout this process!

Emails like your subscriptions or newsletters from companies you don’t actually plan to read. Simply select them ALL, and either archive or delete them. This quick win will significantly reduce your inbox count and boost your motivation. You might even unsubscribe from newsletters you don’t often open, to save yourself from inbox overload in the future. 

Step 3 - Commit to Maintaining Your Project Management System

Our last step is the most tough aspect to keeping up with your organized inbox. Especially if you’re constantly swamped or just hate managing emails. 

If you find it challenging to manage on your own, consider working with a virtual assistant who can dedicate a few hours per week to keep your inbox clean.
